How it works

Full control over your property management work — in one place

Requests in messengers, calls to field staff, spreadsheets with deadlines, scattered chats with owners — a property management company's work is usually smeared across a dozen channels. PropManage brings it all into one system: the request, the executor, the deadlines and the report live in a single window, and everyone sees exactly what they need to do their job.

The path of a request: from intake to close

1

The request comes in

An owner submits a request through a Telegram bot — no apps to install, no sign-ups. A manager or dispatcher can also create a request manually: from a call, an inspection, or planned work. Every request is automatically tied to a property, gets a status and a place in the shared feed. Nothing gets lost in private chats or sticky notes on a monitor.

The dispatcher sees the whole picture and assigns an executor

All incoming requests land in a single monitoring feed. The dispatcher sees what's happening across every property, which requests are in progress and which are waiting for a response, and assigns an executor in a couple of clicks. No need to keep track in your head of who's busy and who to call — the system shows it on one screen.

3

The executor gets the job in Telegram

The assigned work arrives for the executor right in Telegram — where they already are. As the work progresses they change the task status (accepted, on the way, done) and attach a photo of the result. You no longer have to call to find out whether it's done: progress is visible in real time, and the photo report stays in the request card.

If the work can't be done, it shows immediately

The executor can mark a refusal with a reason from a single list (no access to the premises, materials needed, not their type of work, and so on). The request doesn't hang silently — the dispatcher sees right away that intervention is needed and reroutes the work.

5

Everyone sees progress — each at their own level

The manager tracks completion, deadlines and load across properties. The owner can open Telegram at any moment and see the status of requests for their properties — no calls to the office. Transparency removes the stream of follow-up questions and reduces conflict situations.

Everyone sees only what's theirs

In PropManage access is configured by role. It's not just convenience — it's data protection and order in the work: an executor doesn't see other people's properties, an owner doesn't see other people's requests, and commercial information stays available only to those who need it.

Property manager

The full working loop. All properties and requests, executor management, scheduling, analytics on deadlines and load, billing and company settings. This is the workspace of the person responsible for the result.

Dispatcher

The operations center. Sees all requests and properties, assigns executors, runs the schedule. Focused on the flow of work here and now, without access to financial analytics and company settings.

Executor

Only their own tasks. Sees the requests assigned to them, changes statuses, leaves comments and photos. Nothing extra: other people's properties, requests and the company's internal information are off-limits.

Owner

Only their own properties. Sees requests for their real estate and their statuses, and can submit a new one. Access is limited to their properties — they don't see anyone else's.

Why this works in your favor

Nothing gets lost

Every request is recorded, tied to a property and has someone responsible. Work history is always at hand.

Less manual coordination

The dispatcher distributes work from one window instead of dozens of calls and messages.

Transparency instead of calls

Owners see the status themselves — the load on the office drops.

Quality control

Photo reports and statuses for every job. You can see what was done and when.

The field works in Telegram

Field staff don't have to learn new software. They work where they're used to.
